Dear Residents,
We hope your exams, papers, and final assignments are going well!
First, if you are satisfied with your room selection for Fall 2023 you can stop reading this email and return to what you were doing.
However, if you would like to try and change your room, the Housing/Room Change Request (HR/RCR) Form opened on Friday, April 28, in Residence. You must complete and submit this form by June 1 at 11:55 p.m. ET.
Room change request decisions will be emailed to your MHC email address by the end of July beginning of August. If your room change request is not granted you will remain in your current room.
Please note:
- Once you open this form you will create an application. Residential Life staff will not look at forms that have been started. You must submit the application in order for it to be reviewed.
- Submitting a Room Change Request Form is not a guarantee a room change will be granted.
- Forms are first considered in order of housing accommodations (see bottom of email for more information), class seniority, and then a randomly assigned order number based on available space. Example: You are a junior, out of 50 juniors, requesting a room change. You are then randomly assigned number 32. You will be considered for a room change after housing accommodations, all of the seniors, and then after the 31 juniors ahead of you.
- As part of the room change request process, it is essential for you to inform your fall 2023 roommate, if you have one, that you are requesting a change. This allows your fall roommate to also request a change.
If you are trying to switch rooms with someone else, please state that on the form in the comments section and identify the first and last name and room number of the other person.
Please note:
- EACH PERSON must fill out a separate form with the request.
- You cannot swap rooms with someone who is going on leave (including Study Abroad), going to live off-campus, or withdrawing from the College.
- You may only swap rooms with someone who will be on campus for the fall semester and who has the same type of room ie: single for single, double for double, etc.
If roommates are requesting a room change together but in a different location, both students must fill out a separate form. Please note:
- The requests will be processed on the most desirable of the two-room choosing numbers. Example: Using the scenario from above you are a junior with the number 32 but your roommate is a sophomore with the number 5. This request will be processed on your number 32.
- If two or more people have a special request (Example: I only want a single if my roommate gets one), the requests will be processed at the least desirable room-choosing number. Example: Using the same scenario, your request will be processed on your roommate’s number 5 – all housing accommodations and all seniors and juniors will be processed first.
- List ALL spaces you are willing to move to, from first to last choices. If you wish to move, even if none of your preferred spaces are available, state that clearly.
- Please note that if you say YES to "I am willing to go anywhere for a single" this means that you might be placed in a building that is not listed as one of your choices, and you agree to take a single in the basement or quiet floor if that is what is available.
- If your room change is granted, you do not have the ability to deny the decision; your housing assignment will be automatically changed.
- Please be sure to explicitly state your intentions and choices on this form. We will not assign you to something you have not listed as a preference unless you say yes to willing to go anywhere for a single.
Disability Services is the designated office at Mount Holyoke College that provides accommodations for students with disabilities. Any student seeking housing accommodations should complete the Disability Services application process, including meeting with an accommodation coordinator to determine eligibility for housing accommodations. While students may request housing accommodations at any time, housing accommodations will be subject to availability. Information about applying for accommodations can be found on the Disability Services website.
You are not required to disclose personal information about a disability to the Residential Life Office at any time as all requests and information is managed through Disability Services. Residential Life works closely with Disability Services to meet the accommodation needs of our students.
To request housing accommodations, please register with Disability Services. To be placed in housing with approved accommodations before the Fall semester starts, students must be approved and then fill out the Housing Accommodation Request Form (HARF), by June 23. This is in addition to the Housing Request/Room Change Request form. All students approved after this date will be placed on a waitlist for a room that fits their approved accommodation needs.
More information about disability-related housing needs and accommodations are on Disability Service's my.mtholyoke page.
Housing Accommodation requests are considered in order of class seniority and prior to other room change request forms.
If you have any questions please contact us at res-life@mtholyoke.edu.
